Tips that’ll have you communicating like a pro
Tip 1: Do your prep
Create your comms plan by listing actions and deadlines for your stakeholders. Then plug in how and when you’re going to communicate these.
A simple spreadsheet with the following headings per action will do the trick:
A simple spreadsheet with the following headings per action will do the trick:
- Stakeholder group (who the comms will be going to)
- Message (what you’ll be asking to them to do)
- Date (when you’ll be sending your comms)
- Delivery method (how you’ll send your message to them)
Tip 2: Choose your channels
Emails are great for communicating longer deadlines while instant messaging tools (think Slack or Teams) can help you fire off quick questions (or chase people!)
Mark-up which channels you’ll use on your plan to communicate your various actions. This will also help you keep track of where conversations are happening and is handy if you need to refer back to them later, too.
Pro tip: Take time to personalise each communication you send out. Adding something as simple as ‘did you have a good holiday?’ or ‘great to see you last week’ goes a long way toward warming your recipient toward the task in hand!

Tip 3: Think frequency
Schedule in regular comms updates that will keep the momentum on your data collection process going.
Think weekly emails to chase actions, and monthly reports to share longer-term progress.
Plan in some regular face-to-face meetings too, where you and your stakeholders can get together to unblock any issues or brainstorm new ideas.
