Super-Synch Your Timetabling and Space Management Teams
Once upon a time, a science class turned up to use a room that had vanished into thin air...

But it was a space in the middle of a major refurb. No desks, no chairs, and definitely not a spot for half a dozen students and their Bunsen burners!
It happens, and it’s usually a sign of a comms breakdown between your timetabling and space management teams.
And while not a complete disaster, it’s definitely something that as HE professionals, we all want to avoid.
To help you do just that, here are some tips we share regularly in our Space Management Basecamp workshops. They’re tried and tested and will help you, as timetablers and space managers, ensure you’re making the right chemistry in no time.

Top tips to synch your teams
Here are four easy ways to work smarter together:
1. Space managers - for new projects, get into the habit of adding in a routine step which debriefs your timetablers. It’s much easier to run through concerns (and come up with solutions together) at an early stage.
2. Timetablers - periodically pop in meetings with your space managers before and after you gather your key data, so that you can share any space demand trends you’re seeing and give them a heads up.
3. For both teams, think about the time of year your campus is busiest, and consider collaborating on a utilisation study. It’ll give you both a rich mine of data to experiment with in the future.
4. For both teams again, develop a single resource you can both access, where changes to space (such as planned refurbs) can be tracked. Agree to lockdown the data for every scheduling period, so timetabling elements can be scheduled in with confidence.
